Handling Tenant Work Orders for Landlords and Managers
Requests Come Through the Manager
Usually a tenant reports a problem to the manager, who sends it to you as a work order. Get the tenant's contact details and any access rules with the work order.
Contact the Tenant
With the manager's permission, text the tenant to set a time. Tenants are more likely to be home and have the dog put away when they picked the time.
Access Rules
Tenant-occupied units usually need the tenant's okay or a notice from the manager. Note the rule on the address so every tech follows it.
Stay in Scope
Tenants often ask for extra things while you're there. Anything outside the work order needs the manager's approval, because the manager is paying.
Document Everything
Photos of the problem and the fix protect you, the manager and the tenant. If the damage looks tenant-caused, a clear photo matters later.
Report Back
The manager gets the job report with photos. A quick text that the job is done saves them a follow-up call.
