Setting Up a Property Manager Account in Handyman Software

One Client, Many Addresses

The manager is the client. Each rental is an address under that client. This is the single most important setup decision, because history, photos and billing all hang off it.

Contacts

Most management companies have more than one person you deal with: the manager who approves work, a maintenance coordinator who sends work orders and a bookkeeper who pays. Add each as a contact so texts and statements go to the right person.

Billing Frequency

Ask how they want to be billed. Most prefer one statement a month. Set the client to monthly billing and every completed visit is held for the month-end statement instead of creating an invoice per job.

Access Notes per Address

Lockbox codes, gate codes, which units have pets and whether tenants need notice all go on each address, not on the client. The tech sees them on the job.

Import the Portfolio

If the manager has a spreadsheet of properties, import it as a CSV under the one client. Every address lands on the map, ready for the first work order.

Agree on the Rules

Before the first job, agree on the approval limit, how work orders arrive and how fast they expect a response. Write it in the client's notes so the whole office knows.
